Job Description



The Project Coordinator (PC) will oversee management of the project pipeline and associated business, as well as internal and external customer and trade partner relationships in their assigned territory(s).  The PC will be responsible for initiating, coordinating and documenting the SCP quoting process and maintaining associated records in customer relationship management software program (CRM).  The PC works closely with field sales, accounting and internal logistics to create and maintain master orders and FDP’s. The PC should possess a strong work ethic, drive, determination, collaborative spirit and self-motivation. Ultimately, the PC is a service provider to the field sales organization.   


 
PRIMARY RESPONSIBILITIES



  1. Learn and maintain proficiency in company’s products, processes and services.

  2. Work closely with field representatives to transition projects from specification to bid stage to eventual P.O.

  3. Manage commercial project pipeline in the assigned territory.


a)    Serve as primary point of contact for internal & external contacts associated with each assigned project.


b)    Demonstrate the company’s ability to satisfy client requirements and communicate the business value of our solution.


c)     Proactively develop new projects and increase knowledge of key markets in assigned territory.


d)    Research projects and opportunities.  Master and maintain knowledge of clients’ businesses, competition and latest industry news and trends.


e)    Utilize HubSpot and Dodge Analytics to acquire, develop and track projects.


f)      Call prospective customers; establish bidding/buying cycles, determine customer needs, create a customer/supplier relationship and follow-up on bids/projects.


g)    Winning bids/Securing large-scale projects.


h)    Prepare sales information for and distribute to customers.


i)      Identify buying influences, budgets and purchasing criteria for each account.


j)      Secure and place orders with team members taking into consideration delivery dates and inventory levels for fulfillment. 



  1. Initiate projects through outbound calls and emails (inside sales).

  2. Update, manage and maintain sales database.

  3. Initiate and further relationships with clients through emails, telephone and meetings set for field sales team.

  4. Communicate all project details and updates to the field sales organization through weekly calls, emails and reports.

  5. Coordinate, discuss and obtain material discounts approved per project.

  6. Identify and work to overcome hurdles for each project and client.

  7. Find creative solutions to close each project and create a lasting relationship with clients and field team.

  8. Prepare bid requests for the Cut-To-Size program and submit and coordinate with fabrication providers.

  9. Manage and coordinate material for upcoming projects through the master order and project warehouses.

  10. Meet or exceed established goals on a consistent basis. 

  11. Provide detailed marketplace feedback to sales representatives for future program development.

  12. Communicate with management regarding meetings, schedule and territory activities.



  ADDITIONAL RESPONSIBILITIES



  1. Participate in marketing events such as seminars, trade shows, blitz and telemarketing events as assigned by the Regional Sales Manager.

  2. Attend at least one sales meeting with their team per year.

  3. Update and maintain the Sales Database daily.

  4. Other duties as assigned.



Job Requirements


  1. 3 or more years sales support experience with proven track record.

  2. Associate’s degree required.  Bachelor’s degree preferred.

  3. Proficient in MS-Office Suite, especially MS-Excel.

  4. Competency in performing online research.

  5. Familiarity with construction industry terminology; comfortable speaking with General Contractors, Architects, etc.

  6. Ability to foster effective, friendly, and solid relationships with sales team and clients through phone calls, emails, and assistance.

  7. Applicants should possess an intuitive understanding and familiarity with business development.

  8. Ability to develop and deliver presentations.

  9. Ability to create, compose and edit written materials.

  10. Strong interpersonal and communication skills.

  11. Work requires willingness to work a flexible schedule, as needed and defined.

  12. Oracle experience preferred.
