Job Description

The Field Service Administrator assists the Service Manager with daily activities related to service orders, department development and invoicing for site services



Core Function:


Assist the Service Manager, coordinate service assignments and special projects as required. Development of procedures, standards and forms.



Core Function:


Develop service estimates based on standard service rate agreements or negotiated contract rates as requested by Sales.



Core Function:


Review service history and expenses for invoicing of billable services for KCA and contracted staff.


Coordinate with accounting and Sales staff to resolve any disputable charges with support by Department Manager.



Core Function:


Maintain service logs and records utilized in dispatching service staff.



Core Function:


Coordinate VISA application needs for international travel.



Core Function:


Perform data entry functions.



Core Function:


Other duties as assigned by management.

Job Requirements

Required Qualifications and Competencies



1.        Knowledge normally acquired through completion of a two-year certificate from college or technical school; or equivalent in a related job experience.


2.        Background in account billing and contract review.



Preferred Qualifications and Competencies



1.        Customer Service - Responds promptly to customer needs; Superior phone etiquette.


2.        Proficient in the use of MS Office Products (Word, Excel, Outlook)


3.        Excellent organizational skills.


4.        Strong English verbal and written communication skills.


5.        Secondary language in Spanish or Portuguese.


6.        Good analytical skills to read and interpret policies and contracts related to service agreements.


7.        Professionalism; Reacts well under pressure. Respectful and Considerate of others regardless of status and/or position.


8.        Performance Quality - Demonstrates accuracy and thoroughness; Looks for ways to improve and promote quality.


9.        Performance Quantity - Completes work in timely manner; Strives to increase productivity.
